SYSTEM OPERATORS GUIDE (SYSOP)
Introduction :
Hi There. Thank you for purchasing or evaluating this copy of
KBS-EMAIL. You should find it easy and friendly to use. It is
designed for use in a multi-user environment but will also run happily
on a stand alone personal computer system.
This manual will explain each menu choice and what they do.
This manual will instruct you as to the things to do first when
you receive the KBS-EMAIL package, and then proceed on with other
normal stuff.
This ends the introduction.

READ ME FIRST
Installing :
You should probably read this entire section before you do
anything.
NOTE : Your computer should have 640kb of ram ( or as close to it as
you can get after loading any network shell. i.e. load the network
shell in high memory if you can )
If you wish to install the KBS-EMAIL system to a network drive
(assuming a Novell network) then place the KBS-EMAIL floppy disk in
drive A: of a computer linked to the network.
Now, assuming you logged in, default to drive A: and then type
INSTALLF and enter return
This will install the system on the network drive in the
subdirectory F:\KBSEMAIL.
The system will automatically load and run after you install it,
however, to run the package at other times, type
EM and enter a return
and the package will display a sign that it is loading.
After the opening screen has displayed, you will be asked to sign
on. (The initial signon name is SYSOP and the password is SYSOP)
I strongly suggest and urge that you now go to menu level 1, edit
your account, using the next menu option ( use the up and down arrow
keys to move the highlight bar to highlight the selection you want and
press return) and change your password.
NOTE : if you want to install to a different drive then you must
change the INSTALLF bat file to reflect the drive change.
(this is easily done, believe me)

NOTE : type INSTALLC if installing to drive C:
type INSTALLD if installing to drive D:
NOTE : If you want, you can skip the install procedure and copy
the contents of the disk to any directory you want.
The next thing you should do as SYSOP is to set up other users
under menu level 4, add a new user. Use the next menu option (or
previous menu option, depending where you are) to get to menu level 4
and select the choice to add a new user.
The program module will first ask for a user key name. Enter a
user key name and if that user does not exist, the program module will
allow you to enter the users full name, address, city, etc.... You
might want to make the password the same as the user key name. You
should set up all your users using this program module.
The security level for users should be set to 2 which means that
any user with a level of 2 can only access menus up to and including
level 2. However, you can issue any level up to a 9, which will allow
the user to do anything.
Security levels ....
1 allows access up to menu level 1
2 allows access up to menu level 2
3 allows access up to menu level 3
4 allows access up to menu level 4
5 allows access up to menu level 5
6 allows access up to menu level 6
7 allows access up to the super users menu.
9 allows access to other programs.
The security level defaults to 2 and the password defaults to
what you typed in for the key name.
Well, that should be it for the necessary stuff.
Now you can go back and install the package and start using
KBS-EMAIL.

READ MAIL
first selection : main menu
This is the first choice on the main menu. The selection will be
highlighted as it occurs first on the menu. Enter a return for this
selection and the system will locate any new mail that you have and
present it to you ( in an abbreviated line item type format ) in a
window near the middle bottom of the screen. As SYSOP, if this is the
first time you access the system there will be a message already
present for you to read.
If you have no new mail then the system will tell you so and
return you to the main menu.
If you have mail, then use the arrow keys (to scroll up and to
scroll down) to highlight the piece of mail that you want to read, and
enter return.
Please keep in mind that this is just a window and you may have
more pieces of mail than can be shown to you in the window. So use
the down arrow key to keep scrolling through the window to see more
pieces of mail.
The piece of mail that you highlighted will be brought up on the
screen, after you enter return, for you to read or print or delete or
send a reply to.
After you are through with that piece of mail the window will re-
display showing you more mail that you have not yet read. Select
another piece or you can hit the esc (escape) key and be returned to
the main menu.
If you have no more new mail to read then the system will tell
you so and return you to the main menu.
If you are replying to a piece of mail the system will let you
type in the reply and it will automatically send the reply back to the
person who sent you the original piece of mail.
NOTE : The main body of the piece of mail is 10 lines by 75 characters
with no scrolling, just basic text entry.

SEND MAIL
second selection : main menu
This is the second choice on the main menu. The selection can
be highlighted by pressing the down arrow key once. Enter a return
for this selection and the system will ask you for the users key name
that you wish to send mail to. Either type in the users key name or
enter a return and a window will appear showing you a list of
available users that you can send mail to.
NOTE : You may just type in the users first letter of the users key
name and enter return and the system will present you with a
window of users who's key name starts with the letter you
typed in. If no users key name starts with the letter you
typed in, then the next alphabetically closest user will
appear first. Use the up and down arrow keys to scroll
through the list.
Please keep in mind that this is just a window and you may have
more users than can be shown to you in the window. So use the up or
down arrow key to keep scrolling through the window to see more users.
The user that you highlighted will be brought up on the screen,
after you enter return, for you to send a piece of mail to.
You may now enter a subject and then type in your message.
NOTE : The main body of the piece of mail is 10 lines by 75 characters
with no scrolling, just basic text entry.
NOTE : You may press the esc (escape) key at any time to abort this
program, and you will be sent back to the main menu.

EDIT MAIL
third selection : main menu
This is the third choice on the main menu. The selection can
be highlighted by pressing the down arrow key twice. Enter a return
for this selection and the system will display a window of pieces of
mail that you have already sent but have not yet been read by the
recipient.
Please keep in mind that this is just a window and you may have
more pieces of un-read mail than can be shown to you in the window.
So use the up or down arrow key to keep scrolling through the window
to see more un-read mail.
The un-read mail that you highlighted will be brought up on the
screen, after you enter return, for you to edit.
You may now edit the subject and then the body of your message.
NOTE : The main body of the piece of mail is 10 lines by 75 characters
with no scrolling, just basic text entry.
NOTE : You may press the esc (escape) key at any time to abort this
program, and you will be sent back to the main menu.

DELETE MAIL
fourth selection : main menu
This is the fourth choice on the main menu. The selection can
be highlighted by pressing the down arrow key three times. Enter a
return for this selection and the system will display a window of
pieces of mail that you have already sent to a user, even if they have
been read or not.
Please keep in mind that this is just a window and you may have
more pieces of sent mail than can be shown to you in the window.
So use the up or down arrow key to keep scrolling through the window
to see more sent mail.
The mail that you highlighted will be brought up on the screen,
after you enter return, for you to delete, or if already deleted,
recall.
If the piece of mail was previously deleted, you will be asked
if you want to recall it.
NOTE : Deleted mail stays in the system until erased by a database
pack.
NOTE : You may press the esc (escape) key at any time to abort this
program, and you will be sent back to the main menu.

RE-READ MAIL
first selection : menu level 1
This is the first choice on menu level 1. The selection will be
highlighted as it occurs first on the menu. Enter a return for this
selection and the system will locate any mail that you have read and
present it to you ( in an abbreviated line item type format ) in a
window near the middle bottom of the screen.
If you have deleted all your mail then the system will tell you
that you have no mail to re-read and return you to the menu. (if you
want to re-read deleted mail then use the delete mail option on the
main menu.)
If you have mail, then use the arrow keys (to scroll up and to
scroll down) to highlight the piece of mail that you want to read, and
enter return.
Please keep in mind that this is just a window and you may have
more pieces of mail than can be shown to you in the window. So use
the down arrow key to keep scrolling through the window to see more
pieces of mail.
The piece of mail that you highlighted will be brought up on the
screen, after you enter return, for you to re-read or print.
After you are through with that piece of mail the window will re-
display showing you all your mail that you may re-read. Select
another piece or you can hit the esc (escape) key and be returned to
the main menu.

SEND QUICKIE MAIL
second selection : menu level 1
This is the second choice on menu level 1. The selection can be
highlighted by pressing the down arrow key once. Enter a return for
this selection and the system will ask you for the users key name that
you wish to send a quick message to. Either type in the users key
name or enter a return and a window will appear showing you a list of
available users that you can send mail to.
NOTE : You may just type in the users first letter of the users key
name and enter return and the system will present you with a
window of users who's key name starts with the letter you
typed in. If no users key name starts with the letter you
typed in, then the next alphabetically closest user will
appear first. Use the up and down arrow keys to scroll
through the list.
Please keep in mind that this is just a window and you may have
more users than can be shown to you in the window. So use the up or
down arrow key to keep scrolling through the window to see more users.
The user that you highlighted will be brought up on the screen,
after you enter return, for you to send a quick message to.
You can enter your quick message on the one line located about
the middle of the large window (bottom half of the screen) where the
'>' appears.
If the user is online at the present time, they will get their
quick message whenever they access a new menu, or if they are not
online, they will get their quick message when they sign on.
The quick message will appear on the middle line of the three
highlighted lines which appear at the bottom of any menu screen.
If the user has a quick message pending, you will not be able to
send a new one until they have received the message that is waiting.
NOTE : You may press the esc (escape) key at any time to abort this
program, and you will be sent back to the menu.

EDIT YOUR ACCOUNT
third selection : menu level 1
This is the third choice on menu level 1. The selection can be
highlighted by pressing the down arrow key twice. Enter a return for
this selection and the system will display that users account
information consisting of name, address, city, state, zip, password
and online help.
The user may change any of this information except their key name
which is their access code set up by the SYSOP.
NOTE : You may press the esc (escape) key at any time to abort this
program, and you will be sent back to the menu.

WHO IS IN EMAIL
fourth selection : menu level 1
This is the fourth choice on menu level 1. The selection can be
highlighted by pressing the down arrow key three times. Enter a
return for this selection and the system will display those users
that are currently in the KBS-EMAIL system.
Please keep in mind that this is just a window and you may have
more users than can be shown to you in the window. So use the up or
down arrow key to keep scrolling through the window to see more users.
NOTE : You may press the esc (escape) key at any time to abort this
program, and you will be sent back to the menu.

MAIL PRINTING
first selection : menu level 2
This is the first choice on menu level 2. The selection will be
highlighted as it occurs first on the menu. Enter a return for this
selection and the system will locate any mail that you have and
present it to you ( in an abbreviated line item type format ) in a
window near the middle bottom of the screen.
If you have no mail then the system will tell you that you have
no mail to print and return you to the menu.
If you have mail, then use the arrow keys (to scroll up and to
scroll down) to highlight the piece of mail that you want to print,
and enter return.
Please keep in mind that this is just a window and you may have
more pieces of mail than can be shown to you in the window. So use
the down arrow key to keep scrolling through the window to see more
pieces of mail.
The piece of mail that you highlighted will be brought up on the
screen, after you enter return, for you to re-read or print.
After you are through with that piece of mail the window will re-
display showing you all your mail that you may print. Select another

SEND FUTURE MAIL
second selection : menu level 2
This is the second choice on menu level 2. The selection can
be highlighted by pressing the down arrow key once. Enter return for
this selection and a calendar will appear for you to select a date
that this piece of mail will be available for the user to read. Enter
return to select the current system date or use the arrow keys to
select a date to send this piece of mail on. Enter a return to
continue and the system will ask you for the users key name that you
wish to send mail to. Either type in the users key name or enter a
return and a window will appear showing you a list of available users
that you can send mail to.
NOTE : You may just type in the users first letter of the users key
name and enter return and the system will present you with a
window of users who's key name starts with the letter you
typed in. If no users key name starts with the letter you
typed in, then the next alphabetically closest user will

FORWARD MAIL
third selection : menu level 2
This is the third choice on menu level 2. The selection can
be highlighted by pressing the down arrow key twice. Enter return for
this selection and a calendar will appear for you to select a date
that this piece of mail will be available for the user to read. Enter
return to select the current system date or use the arrow keys to
select a date to send this piece of mail on.
Next, the system will locate all your mail ( mail that you sent
to someone or mail that someone sent to you - only read mail ) and
present it to you ( in an abbreviated line item type format ) in a
window near the middle bottom of the screen.
If there is no mail then the system will tell you that there is
no mail and return you to the menu.
If there is mail, then use the arrow keys (to scroll up and to
scroll down) to highlight the piece of mail that you want to forward,
and enter return.
Please keep in mind that this is just a window and you may have
more pieces of mail than can be shown to you in the window. So use
the down arrow key to keep scrolling through the window to see more
pieces of mail.
The piece of mail that you highlighted will be brought up on the
screen, after you enter return.
Enter a return to continue and the system will ask you for the users
key name that you wish to forward this mail to. Either type in the
users key name or enter a return and a window will appear showing you
a list of available users that you can send mail to.

SEND QUICK MAIL 1
first selection : menu level 3
This is the first choice on menu level 3. Enter a return for
this selection and the system will ask you to enter your quick
message.
NOTE : All users will receive this quick message.
You can enter your quick message on the one line located about
the middle of the large window (bottom half of the screen) where the
'>' appears.
If any user is online at the present time, they will get their
quick message whenever they access a new menu, or if they are not
online, they will get their quick message when they sign on.
The quick message will appear on the middle line of the three
highlighted lines which appear at the bottom of any menu screen.
If the user has a quick message pending, it will be over written
with this new quick message.
NOTE : You may press the esc (escape) key at any time to abort this
program, and you will be sent back to the menu.

SEND MAIL TO A GROUP
second selection : menu level 3
This is the second choice on the menu level 3. The selection can
be highlighted by pressing the down arrow key once. Enter return for
this selection and a calendar will appear for you to select a date
that this piece of mail will be available for the user to read. Enter
return to select the current system date or use the arrow keys to
select a date to send this piece of mail on.
Enter a return next and the system will ask you for a group level
that you wish to send mail to. Enter a group level ( you can set
these up under menu level 4, edit user info ) and then a group code.
You may now enter a subject and then type in your message.
The system will locate every user in the group level that you
specify and check if the group code matches what you want. If so, the
mail is sent to them.
NOTE : The main body of the piece of mail is 10 lines by 75 characters
with no scrolling, just basic text entry.

program, and you will be sent back to the main menu.

FORWARD EMAIL TO ALL
third selection : menu level 3
This is the third choice on menu level 3. The selection can
be highlighted by pressing the down arrow key twice. Enter return for
this selection and a calendar will appear for you to select a date
that this piece of mail will be available for the user to read. Enter
return to select the current system date or use the arrow keys to
select a date to send this piece of mail on.
Next, the system will locate ALL mail and present it to you ( in an
abbreviated line item type format ) in a window near the middle bottom
of the screen.
If there is no mail then the system will tell you that there is
no mail and return you to the menu.
If there is mail, then use the arrow keys (to scroll up and to
scroll down) to highlight the piece of mail that you want to forward,
and enter return.
Please keep in mind that this is just a window and you may have
more pieces of mail than can be shown to you in the window. So use
the down arrow key to keep scrolling through the window to see more
pieces of mail.
The piece of mail that you highlighted will be brought up on the
screen, after you enter return.
Enter a return to continue and you will be asked if you want the

SEND QUICK MAIL 2
fourth selection : menu level 3
This is the fourth choice on menu level 3. The selection can be
highlighted by pressing the down arrow key three times. Enter a
return for this selection and the system will ask you to enter your
quick message.
Enter a return next and the system will ask you for a group level
that you wish to send mail to. Enter a group level ( you can set
these up under menu level 4, edit user info ) and then a group code.
The system will locate every user in the group level that you
specify and check if the group code matches what you want. If so, the
mail is sent to them.
You can enter your quick message on the one line located about
the middle of the large window (bottom half of the screen) where the
'>' appears.

ADD A USER
first selection : menu level 4
This is the first choice on menu level 4. The selection will
automatically be highlighted. Enter a return for this selection and
the system will ask you to enter a key name that it will use as a
'key' for this new user.
NOTE : The system will not allow duplicate user keys.
Enter a key for a new user and if that key does not already
exist, a screen will display asking you to fill out the users record.
You should add their full name, address, city, state, zip code,
password and security level.
NOTE : You may press the esc (escape) key at any time to abort this
program, and you will be sent back to the menu.

DELETE A USER
second selection : menu level 4
This is the second choice on menu level 4. The selection can be
highlighted by pressing the down arrow key once. Enter a return for
this selection and the system will ask you for the users key name that
you wish to delete. Either type in the users key name or enter a
return and a window will appear showing you a list of available users
that you can delete.
NOTE : You may just type in the users first letter of the users key
name and enter return and the system will present you with a
window of users who's key name starts with the letter you
typed in. If no users key name starts with the letter you
typed in, then the next alphabetically closest user will

EDIT USER INFORMATION
third selection : menu level 4
This is the third choice on menu level 4. The selection can be
highlighted by pressing the down arrow key twice. Enter a return for
this selection and the system will ask you for the users key name that
you wish to edit. Either type in the users key name or enter a return
and a window will appear showing you a list of available users that
you can edit.
NOTE : You may just type in the users first letter of the users key
name and enter return and the system will present you with a
window of users who's key name starts with the letter you
typed in. If no users key name starts with the letter you
typed in, then the next alphabetically closest user will
appear first. Use the up and down arrow keys to scroll
through the list.

SEND REMINDER MAIL
fourth selection : menu level 4
This is the fourth choice on menu level 4. The selection can be
highlighted by pressing the down arrow key three times. Enter return
for this selection and a calendar will appear for you to select a date
that this piece of mail will be available for the user to read. Enter
return to select the current system date or use the arrow keys to
select a date to send this piece of mail on.
Next you will be asked for the frequency of this mail to keep
appearing for the person you sent it to. Select a frequency, either
daily, weekly, monthly or yearly.
Enter a return to continue and the system will ask you for the

you a list of available users that you can send mail to.
NOTE : You may just type in the users first letter of the users key
name and enter return and the system will present you with a
window of users who's key name starts with the letter you
typed in. If no users key name starts with the letter you
typed in, then the next alphabetically closest user will
appear first. Use the up and down arrow keys to scroll
through the list.
The user that you highlighted will be brought up on the screen,
after you enter return, for you to send reminder mail to.
You may now type in your message., the subject will automatically
be '** reminder mail **'. The user will not be able to read this mail
until the system date reaches the date you selected for the user to
receive that piece of mail.
The user will be reminded with this piece of mail at every cycle
you have chosen, until you or the user deletes it.
NOTE : You may press the esc (escape) key at any time to abort this
program, and you will be sent back to the main menu.

This is the first choice on menu level 5. The selection will
automatically by highlighted. Enter return for this selection and you
will be asked if you want to re-index the database files.
Make sure that you are the only one using the KBS-EMAIL system at
the time and then go ahead and re-index the files.

selection and if your default setting indicates that you are on a
novell network, you will see a 'userlist'.

DELETE MAIL BY DATE

This is the third choice on menu level 5. The selection can be
highlighted by pressing the down arrow key twice. Enter return for this
selection and a calendar will appear for you to select the beginning
and ending send dates of mail.
If you say yes to the prompt, then mail that exists between your
selected dates will be deleted.
NOTE : no records are truly gone until the databases are packed.

READ ALL MESSAGES
second selection : menu level 6
This is the second choice on the menu level 6. The selection can
be highlighted by pressing the down arrow key once. Enter a return
for this selection and the system will locate any mail in the system
and present it to you ( in an abbreviated line item type format ) in a
window near the middle bottom of the screen.
If there is no mail then the system will tell you so and return
you to the menu.
Please keep in mind that this is just a window and you may have
more pieces of mail than can be shown to you in the window. So use
the down arrow key to keep scrolling through the window to see more
pieces of mail.
The piece of mail that you highlighted will be brought up on the
screen, after you enter return, for you to read.
After you are through with that piece of mail the window will re-
display showing you more mail. Select another piece or you can hit the
esc (escape) key and be returned to the menu.
NOTE : The system will allow you to read archived mail if you want to.

ARCHIVE MAIL

This is the third choice on menu level 6. The selection can be
highlighted by pressing the down arrow key twice. Enter return for this
selection and a calendar will appear for you to select the beginning
and ending send dates of mail.
If you say yes to the prompt, then mail that exists between your
selected dates will be archived to a different database.
NOTE : You have the option to delete mail that you are archiving.
NOTE : The last archive date range is saved and shown to you to aid
you in your selection of a new date range.

FORWARD ANYONE'S EMAIL
fourth selection : menu level 6
This is the fourth choice on menu level 6. The selection can
be highlighted by pressing the down arrow key three times. Enter
return for this selection and a calendar will appear for you to select
a date that this piece of mail will be available for the user to read.
Enter return to select the current system date or use the arrow keys
to select a date to send this piece of mail on.
Next, the system will locate ALL mail and present it to you ( in
an abbreviated line item type format ) in a window near the middle
bottom of the screen.
If there is no mail then the system will tell you that there is
no mail and return you to the menu.
If there is mail, then use the arrow keys (to scroll up and to
scroll down) to highlight the piece of mail that you want to forward,
and enter return.
Please keep in mind that this is just a window and you may have
more pieces of mail than can be shown to you in the window. So use
the down arrow key to keep scrolling through the window to see more
pieces of mail.

DATABASE PACKING
first selection : super users menu
This is the first choice on the super users menu. The selection
will automatically be highlighted. Enter return for this selection
and the system will ask you if you want to pack the databases.
If you say yes, then the system will 'pack' the databases,
removing forever, all records that have been deleted.
When the system is done packing the databases, they will be re-
indexed.

SIGN IN TOGGLE

This is the second choice on the super users menu. The selection
will can be highlighted by pressing the down arrow key once. Enter
return for this selection and the system will toggle the logins
allowed switch.
NOTE : If the login switch is toggled once then no one will be allowed
to log into the system. If it is toggled again then logins will
be allowed. Its a toggle.
If you forget to toggle the logins switch back on, it will
automatically allow logins if you leave the menu.

NOTE : Speed in seconds ranges from 1 to 9 seconds. This is the time
those message windows stay on the screen. The system default
is 2 for 2 seconds.
Logins default is 'OK' ( or NO to disallow )
Novell default is 'NO' ( or OK to allow )
NOTE : The default for Novell is for getting a 'userlist' and will not
interfere with running KBS-EMAIL on a network.

THINGS YOU SHOULD DO AS SYSOP
You, as SYSOP, will be responsible for maintaining the system,
i.e. deleting old mail, archiving mail, setting up users and deciding
their security levels, etc..
You should archive mail often and keep the number of active
messages to a minimum.
You should to a backup on a daily basis.
SYSTEM SPECIFICATIONS AND OTHER INFORMATION
You must have at least 640kb of ram or close to it to run KBS-
EMAIL.
You must have a hard disk if you are running the package on a
stand alone computer system.
This is a Clipper, Summer '87 compiled system linked with
BLINKER.
SOURCE CODE AVAILABILITY
For those of you who simply MUST have SOURCE CODE, the price is
$ 299.00 for all 45 programs, the link file and the compile file. All
you need to compile this is Clipper Summer '87 and a linker like
Blinker.
The price is CHEAP considering all the time I have invested in
designing, thinking, and writing the package.
The only difference ( of course there isn't one ) is that when you
receive the source code, you will be able to encrypt the data files to
keep them from prying eyes.
